Summary: The Records and Student Success Specialist is responsible for maintaining student records and documents. Assists with graduation processing and provides customer service related to academic record and graduation requests. This position plays  a vital role in supporting the overall student experience while monitoring student engagement and achievement. Provides support to Assistant Dean of Academic and Student Services and plays a key part in maintaining institutional data quality.

Duties and Responsibilities:

  • Maintain student academic records and documents.
  • Process student-initiated and administrative withdrawals, name changes and other change requests.
  • Assist with processing readmits and program transfers.
  • Maintain student records and enrollment for probation/suspension, non- attendance, financial clearance, and ceased attending.
  • Process graduation applications, degree audits, and assist as needed with degree posting.
  • Assist with researching, addressing, and responding to student concerns and requests.
  • Answer phone calls, and email daily and reflect excellent customer service in internal and external communications and notifications.
  • Maintain data quality for database systems and student records and data entry within Jenzabar.
  • Assist in the maintenance of academic degree plans in database.
  • Assist in maintaining academic policies and procedures.
  • Maintain official student files and assist with digital archiving of records.
  • Assist with identifying course needs and scheduling of courses.
  • Act as a liaison to coordinate a review of disability services.
  • Inform faculty/staff of needed accommodations and review to ensure delivery and compliance.
  • Act as a liaison to various stakeholders throughout the college in coordination of various student services and success initiatives.
  • Assist with commencement planning, preparation, and execution.
  • Organize and manage testing for all programs.
  • Monitors, analyzes, and identifies opportunities for proactive student success initiatives. This could include engaging enrollment advisor(s) and/or faculty, connecting the student with appropriate resources, etc. with the goal of partnering with students toward achievement of various goals (graduation, course completion, satisfactory academic progress, etc.).
  • Ensures any student service issues are effectively managed to a successful resolution, providing a clear and customer-focused summary of the issue resolution to all relevant staff.
  • Assist with the development of policies and procedures and maintaining a procedures manual.
  • Participate in audits and assessments of student records and support services.
  • Compiling and analyzing data to assist with ongoing reports and projects with Assistant Dean of Academic and Student Services.
  • Ability to maintain confidentiality in compliance with FERPA and departmental expectations for this role.
  • Other duties may be assigned.

The ideal candidate will have experience working in a records office or other office environment where data integrity, technology applications, and customer service are top priority.  Qualifications and expectations will include, but are not limited to the following:

  • Critical thinking and problem-solving skills with great attention to detail & accuracy.

  • Excellent customer service and communication skills with the ability to demonstrate empathy, responsiveness, and a commitment to student success.
  • Proficiency in utilizing data and analytics to inform strategies, make evidence-based decisions, and evaluate the effectiveness of student support services and programs.
  • Proficient in use of Microsoft Office programs, with a strong background in Microsoft Excel.
  • Knowledge of computerized student databases and student information systems preferred.

 

Education/Experience:

Bachelor’s degree from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
